Most of it I get, like the 4 laps, 2 flying laps etc... Its just the lobby. So do we just have a few of us meet up and whoever the host is takes down the times and puts them on the spreadsheet?

As long as there's a minimum of 1 Steward in the room, drivers a free to verify a Quali session.
Stewards are here cause they perfectly know the quali procedure and they can help if you have some difficulties. Plus, a Quali session will not be taken into consideration if there's no Steward in the room, even if a driver complete the quali input form.

Yes exactly. But really any one of the stewards can. So like, if you host the room, all the steward will do is check your settings to make sure they're to regulation, then he'll invite you to start your own run, observe, then report the time.
You only need one steward minimum. If there's a few people every one will back out to watch your run or wait their turn for practice/and or qualifying.

Yes, divisions are made before every race. And the "windows" when qualifying is open is from anytime now to the first race, then immediately following the completion of the race for the next race.
You can qualify whenever you'd like, since we have so many stewards available all over the world, just ask and we can accommodate you.
And the stewards themselves are listed in the OP:
